What a Third-Party Hotel Management Company Does for an Owner in India

Updated: 5 days ago

In short
In a third-party arrangement the owner keeps the hotel and a separate company runs it, under the owner's name or a brand the owner chooses.
The operator takes charge of daily operations, revenue, sales, finance and people, and answers for the result.
The owner keeps ownership, the big decisions on the asset and a clear monthly view of the numbers.
You own the hotel. You may have built it, bought it or inherited it. Running it every day is a different job.
Many owners in India reach a point where they want someone else to carry that load without handing over the building or the name on it. That is where a third-party hotel management company comes in.

What "third-party" means
In a third-party arrangement, the owner keeps the asset and a separate company runs the hotel. The hotel can trade under the owner's own name, or under a brand the owner chooses.
The management company is not the franchisor and not the landlord. It is the operator, working for the owner.
That separation matters. The owner holds the property and the final say on big decisions. The operator holds responsibility for how the hotel performs on the ground.
How it differs from a brand management contract
A brand management contract sells you the brand's name, standards and distribution, and the brand usually runs the hotel too. Under third-party management an independent operator runs the hotel for the owner.
If the owner wants a brand, the hotel can take a franchise and still be run by the third-party operator. In our work the brand is the owner's choice, and we search for it and negotiate the terms.
What we take on as the operator
When we take on a hotel at ProMiller, we take full charge of hotel operations. In practice that covers:
Day to day operations: front office, housekeeping, food and beverage, engineering and guest experience.
Revenue and distribution: pricing, channels and the online presence that brings bookings in.
Sales and marketing: corporate, group, wedding and leisure business.
Finance: budgets, cost control, purchasing and a clear monthly report for the owner.
People: hiring, training, SOPs and the culture of the team.
You can see the full list on our third-party hotel management scope of services page.
The general manager and the team
We appoint the general manager and the senior team, and the general manager reports to us. Staffing, training and vendors are our decisions too.
If the owner has a concern about a person or a vendor, they raise it with us. We look into it properly, and the decision stays with us.
SOPs fitted to the hotel
The hotel runs on our own SOPs, fitted to the property by our team. People first, culture led and process driven is how we run every hotel.

What the owner keeps
The owner keeps ownership and funds the asset. That covers working capital, capital spending, licences and insurance.
Capital projects, and any change that adds materially to the owner's costs, need the owner's approval. If the hotel takes a brand, we recommend and negotiate, and the owner makes the final choice.
The owner holds the property and the final say on big decisions. The operator holds responsibility for how the hotel performs on the ground.
What the owner sees
The owner gets daily reports, monthly profit and loss statements and MIS, and a monthly review of the business with us. We prepare the annual budget and present it before the financial year begins.
The owner can visit the hotel, look at the books with notice and appoint an independent chartered accountant to audit them.

How it differs from a consultant
A consultant studies the hotel, gives advice and leaves. A third-party hotel management company stays and runs the place, and answers for the results.
We are a hotel management company and we take no one-off advisory assignments. We cover that question on our FAQ page.
How it differs from asset management
Some owners want an operator. Others already have one, or a brand, and want someone on their side watching the asset. That second job is hotel asset management.
We explain the difference in our post on hotel operations management vs hotel asset management. You can read about our hotel asset management work separately.
When it makes sense
Third-party management tends to suit owners who:
want the hotel run properly but do not want to run it themselves
want to keep their own name, or choose a brand on their own terms
want one team answerable for operations, revenue and people together
It also asks something of the owner. The decisions on team, pricing, distribution and standards have to sit with the operator, because half control fixes nothing. A hotel is turned around over seasons, not weeks, so the owner needs to give it time.
What the first months look like
The first months usually bring the most change. We study how the hotel runs today, put our SOPs in place, look closely at the team and take charge of pricing and distribution.
Owners tend to notice the reporting first. Daily reports start straight away, and the monthly review becomes the place where questions get answered with numbers rather than opinions.
Results take longer. A hotel is turned around over seasons, not weeks, and the owner needs to hold steady while the changes settle.
Frequently asked questions
Does the owner lose the hotel under third-party management?
No. The owner keeps ownership and the big decisions on the asset, while the operator runs the hotel every day.
Do I need a franchise to work with a third-party operator?
No. The hotel can run under the owner's own name, or under a brand if the owner chooses one.
How does the owner stay informed?
Through daily reports, a monthly profit and loss statement and a monthly review of the business. The owner can also have the books audited by an independent chartered accountant.
We take on very few hotels, so each one gets full attention. If you are weighing this for your property, write to us through our contact page or at info@promiller.in.
